Symphony Village Residents,

Notice for the Annual Meeting of the Members, scheduled for Wednesday, December 2, 2020 at 6:00 p.m., was mailed to all homeowners on Friday, October 30, 2020. The mailer includes five (5) important documents for your review: the Notice of Annual Meeting, the Meeting Agenda, the Candidate Information Forms, the Proxy/Ballot and the Proposed 2021 Budget.

These documents are also available for residents on the official Symphony Village website (www.symphonyvillage.net). The Annual Meeting of the Members will be held virtually on ZOOM, as opposed to previous years when it was held in-person at the Clubhouse. Consequently, there will be an important difference in the election process. Rather than an announcement at the end of the meeting, the results from the Board of Directors election will be announced on Friday, December 4th in an eblast to the community. This change in procedure is due to the recommendation made by the Association’s Attorney as an important measure to ensure the election results are valid and in accordance with the Governing Documents and as a matter of law. You may submit your Proxy Ballot prior to the meeting regardless of whether you will be attending the virtual meeting. If you will not be attending the Annual Meeting of the Members, you must submit your Proxy Ballot prior to 6:00 p.m. on Wednesday, December 2, 2020.

The meeting will be held virtually on the Zoom platform as a Webinar. In order to attend online, please click here and follow the prompts. Please note that attendees are asked to register in advance and use both their first and last name in the meeting. Residents who are unfamiliar with Zoom are encouraged to become more familiar with the platform prior to the webinar meeting. As indicated on the agenda, the first resident input forum will open for residents to comment on Board Meeting agenda items only. At this time, residents that called in by phone will be asked if they would like to make a comment. Residents that are attending by video/web will be asked to enter their questions in the Q&A Forum. The questions and comments will be read out loud by Executive Assistant, Kimberly Cox, and you, the person that submitted the question or comment, will be “unmuted” so that you may communicate with the Board. If you are attending by video/web and would prefer to verbally state your question or comment, you may “raise your hand” by selecting the hand icon at the bottom of the screen. You will be called on one-by-one in no particular order to address the Board.

This process will be repeated at the end of the Annual Meeting of the Members prior to adjournment. This is the portion of the meeting for homeowner comments on Association matters not specifically outlined on the Agenda to be discussed.

All Attendees are reminded to state their name when called upon and that there is a two (2) minute time limit for participants speaking in the open forum. It is respectfully asked that participants adhere to this timeframe so that everyone can have time to speak.
