Symphony Village Residents,

This is a reminder that the December Board of Directors Meeting and the Annual Meeting of the Members is scheduled for tomorrow, Wednesday, December 6, 2023 at 6:00 p.m. Homeowners may attend the meeting virtually on Zoom or in-person at the Clubhouse. Please see the previously distributed eBlast included below for additional information.

The Board will vote on the proposed 2024 Budget during the Board of Directors Meeting. If the budget is approved as proposed, the assessment amount in 2024 will be $260 per month per home. The proposed 2024 Budget includes the required reserve contribution and does not change the current monthly assessment amount.

The purpose of the December 6, 2023 Annual Meeting of the Members is to conduct all business of the Association, including electing three (3) new members to serve on the Board of Directors. The results of the Board of Directors election will be announced in an eBlast on Friday, December 8, 2023.

The reason for the delay in the election results is to accommodate those members attending the meeting by Zoom as required, votes may be cast either by email, fax or in-person delivery to the Management Office after the meeting concludes but no later than 4:00 p.m. on Thursday, December 7, 2023. Only Zoom attendees may submit a vote after the meeting concludes.

Symphony Village HOA Homeowners:

The next Board of Directors Meeting and the Annual Meeting of the Members is scheduled for Wednesday, December 6, 2023, at 6:00 PM. A mailer containing the meeting notice, an absentee proxy and ballot, and the candidate information forms will be mailed via USPS to all owners of record on Monday, November 6, 2023.

A copy of the meeting notice, absentee proxy and ballot, the candidate information forms, and the proposed 2024 Operating Budget are now available on the Governance page of the official community website or by CLICKING HERE.

Owners are encouraged to review the mailer and voting instructions thoroughly upon receipt and to contact the Management Office at 410-758-8500 with any questions.

The Board will vote on the proposed 2024 Operating Budget during the Board of Directors Meeting. The operating budget for Symphony Village HOA not only outlines the Association's operating costs for the year but also sets the amount of your monthly assessments and the annual reserve contribution. The proposed 2024 Operating Budget includes the required reserve contribution and does not change the current monthly assessment amount. If the budget is approved as proposed, the assessment amount in 2024 will be $260 per month per home.

The purpose of the Annual Meeting of the Members is to conduct all business of the Association, including electing three (3) new members to serve on the Board of Directors for a term of two (2) years.

The Board of Directors Meeting and the Annual Meeting of the Members will be hybrid – virtually on Zoom and in-person at the Clubhouse (100 Symphony Way, Centreville, MD 21617).

If you will NOT be attending the Annual Meeting of the Members, please complete and submit the Absentee Proxy and Ballot by 6:00 p.m. on Wednesday, December 6, 2023. This will allow you to cast your vote and ensure the quorum requirement is met. If the Absentee Proxy is completed but not the Ballot, the Absentee Proxy will be used for quorum purposes only. By leaving the line at the top of the first page of the Proxy blank you are authorizing and directing the acting Board Secretary to submit your vote. If you assign your Absentee Proxy to another member of the community, that member must attend the meeting virtually or in-person for the vote to be valid.

If you will be attending the meeting in-person, your Ballot must be submitted by the end of the Annual Meeting of the Members on December 6, 2023, to be valid. If multiple Ballots are submitted, only the most recent Ballot will be valid.

If you will be attending the Annual Meeting of the Members virtually on Zoom, votes may be cast either by email, fax or in-person delivery to the Management Office after the meeting concludes but no later than 4:00 p.m. on Thursday, December 7, 2023. If multiple Ballots are submitted, only the most recent Ballot will be valid.

VOTE FOR NO MORE THAN THREE (3) CANDIDATES ON THE BALLOT. IF YOU SELECT MORE THAN THREE (3), YOUR BALLOT WILL NOT BE VALID. ALL PROXIES AND BALLOTS MUST BE SIGNED AND DATED. IF NOT SIGNED AND DATED, YOUR PROXY AND/OR BALLOT WILL NOT BE VALID.

EARLY VOTING IS ENCOURAGED REGARDLESS OF ATTENDANCE
