Dear Symphony Village HOA Residents:

Do you have questions about how to complete the Governing Document Proxy Ballot? You’re not alone! There is A LOT of information in the Governing Document Voting Package.

As you review the voting package, you will find two (2) categories of proposed amendments to the Articles of Incorporation, Declaration of Covenants, Conditions and Restrictions and Bylaws (together “Governing Documents”). The categories listed on the Proxy Ballot are as follows:

Category A: These amendments are being proposed to bring specific provisions of each of the Governing Documents into compliance with existing law, correct outdated or conflicting language within the document, or facilitate effective governance of and participation in the Association. These amendments will have no noticeable impact on the operation of the Association and are generally necessary to ensure consistency with existing law and other governing documents.

Category B: These amendments are being proposed to address specific concerns within the Association and are intended to improve the financial stability of the Association, the quality of life of the members and/or to make the governance of the Association more consistent and efficient. The proposed amendments in this category are to be voted on individually.

HOW TO VOTE:

The Proxy Ballot included in the mailer identifies each proposed amendment based on the numbered change listed in the document titled “Executive Summary”. The numbered amendments in each of the categories in the Proxy Ballot correspond with the respective numbers outlined in the Executive Summary.

A diagram showing how the Proxy Ballot and Executive Summary correlate is below for your convenience.

To view specific articles in the Executive Summary please review the corresponding “redlined” document in the voting package.

The three (3) page Proxy Ballot included in the mailer allows you to vote for or against the amendments to each document, and vote to approve or disapprove each amendment. Please remember that your participation is key to making all the effort by the Board and Community worth it!

The Board and Management continue to work hard to make the voting process easy for you.

If you have questions about the Proxy Ballot, the Board will be holding a hybrid Town Hall on Monday, June 13, 2022, at 10:00 a.m. to discuss the voting process. The Zoom link for the Town Hall is forthcoming. Residents may also join the Board of Directors in person in Concert Hall.

The Board will be available to answer questions about the voting process and navigate the Proxy Ballot. This will not be an opportunity for owners to suggest any changes to the proposed amendments, Proxy Ballot, or any other supporting documents distributed.

It is critical that you complete all portions of the three (3) page Proxy Ballot and return it to the Management Office no later than the start of the Special Meeting on Wednesday, June 22, 2022 at 5:00 p.m.
